How can I export a risk assessment report?

You can export a risk assessment report for a specific site and a selected date. The report includes the site’s environmental data, data of locations belonging to the site, and assessments recorded on the selected day.

Steps for export:

  1. Navigate to the “Sites” view.
  2. Find the site for which you want to create a report.
  3. Click the “Export” (or “Risk Analysis”) icon/button associated with the site.
  4. A pop-up window (modal window) will appear with export settings.
  5. Select Date: Choose the report date. Only days with recorded assessments for the given site can be selected.
  6. Select Format: Choose the desired file format:
    • CSV (comma-separated values text file, easily opened with spreadsheet programs).
    • XLSX (Microsoft Excel format).
    • PDF (Portable Document Format, optimized for printing and sharing).
  7. Content (for PDF format):
    • Data only: The report contains recorded data in tabular form, along with a fixed risk assessment methodology description.
    • Data + AI analysis: (With appropriate subscription level and if AI credit allows) The report includes what’s in “Data only,” supplemented by an AI-generated textual analysis, risk management plan, and executive summary. AI-generated parts are based on recorded data.
  8. Click the “Generate Export” button.

Report generation may take a few seconds (especially with AI analysis). After generation, the file download will start automatically.

Important: Using the AI analysis feature is subject to subscription and daily credit limits. The system informs you about your current credits in the export window.

What data does an exported risk assessment report contain?

The detail and content of an exported risk assessment report depend on the chosen format and whether you requested an AI-generated analysis (for PDF).

All reports include (CSV, XLSX, PDF – “Data only”):

  • Service Provider and Client Data: The top of the report displays basic data of the service provider (you, as the IPM professional) and the client (the company assigned to the site), such as company name, address, contact person (if specified in Global Settings and Site form).
  • Site Environmental Data: Description of the selected site, assessment of its environmental risk factors (water, green area, neighbors, waste), overall environmental risk, seasonal factors, general environmental measures, and notes.
  • Location Data (current status): A list of all locations belonging to the site with their most important data: name, description, risk category, annual interval, installed devices, indicator system, potential pests, specific risks (structural, hygiene, entry points), on-site measures, and notes.
  • Assessments (for the selected day): Details of all risk assessments recorded at the site’s locations on the selected export date: location name, pest, hazard type and description, likelihood, severity, calculated risk level, measures, and notes.

PDF report with “Data + AI analysis” option (additional content):

  • Risk Assessment Methodology: A standardized description of the risk assessment methodology, including definitions of severity, likelihood, risk levels, and the risk matrix.
  • Site Overview & Environmental Risk Analysis (AI-generated): Textual analysis of the site’s environmental conditions and their impact on pest risks.
  • Location-Specific Risk Analysis & Measures Evaluation (AI-generated): Detailed analysis for each location, evaluating specific risks and existing/proposed measures.
  • Detailed Analysis of Assessment Results (for the selected day, AI-generated): Deeper analysis of specific daily assessments, identifying correlations.
  • Strategic Risk Management Plan & Recommendations (AI-generated): Prioritized, concrete recommendations for risk reduction and improving IPM program effectiveness.
  • Executive Summary (for the selected day, AI-generated): High-level summary of key findings and recommendations.
  • Conclusion & Outlook (AI-generated): Brief closing thoughts on the site’s overall risk status and future actions.

The report language will be the one specified in user settings (Hungarian or English).

How does AI analysis work in PDF reports?

If you choose PDF format and have the appropriate subscription level and sufficient AI credits, you can generate a report with “Data + AI analysis.” In this case, the system sends the recorded data for the selected site and date (site environmental data, location data, assessments for that day) to an advanced artificial intelligence model for analysis.

Based on the structured data received, the AI generates textual analyses and recommendations for the following main sections of the report:

  • Site Overview & Environmental Risk Analysis
  • Location-Specific Risk Analysis & Measures Evaluation
  • Detailed Analysis of Assessment Results (for the selected day)
  • Strategic Risk Management Plan & Recommendations
  • Executive Summary
  • Conclusion & Outlook

The AI-generated text is produced in the selected report language. The goal is to provide a professionally sound, data-driven, yet human-readable analysis that helps in deeper understanding and more effective management of risks.

Important notes on AI analysis:

  • The AI works based on the data provided. The more accurate and detailed the input data, the better the quality of the expected analysis.
  • AI-generated content requires professional review. You, as the IPM professional, are responsible for the final content of the report and its accuracy.
  • AI analysis usage is credit-based. Each successful AI report generation deducts from your daily credit limit.

An “AI Disclaimer” is also displayed in the export window, drawing attention to the above.

What are AI credits and how do they work?

The AI credit system regulates how many times a user can utilize AI-supported features daily, such as PDF report generation with AI analysis or IPM Program generation.

  • Daily Limit: Each user (with the appropriate subscription level) is assigned a daily AI credit limit.
  • Credit Usage: Each time you successfully generate an AI-based report (Risk Assessment Report with AI analysis or IPM Program), one credit is deducted from your daily quota.
  • Credit Reset: Used credits are automatically reset daily (at midnight according to server time), and the full daily limit becomes available again.
  • Check: Before using an AI feature, the system checks your current credits. If you have reached the daily limit, the feature will not be available for that day.
  • Information: You can usually see the number of your currently available credits and the daily limit on the application interface (e.g., in the header and export window).

This system ensures sustainable use of the service and resource management.

In what formats can I export the risk assessment?

You can currently export risk assessment reports in the following formats:

  • CSV (Comma Separated Values): A simple text file where data is separated by semicolons (or other delimiters). Easily importable into spreadsheet programs (e.g., Microsoft Excel, Google Sheets, LibreOffice Calc) and database management systems. This format is primarily suitable for further processing of raw data.
  • XLSX (Microsoft Excel Spreadsheet): Modern Excel file format. Data is presented structurally, divided into worksheets (e.g., Summary, Locations, Assessments). It may contain basic formatting and can be directly edited in Excel or other compatible programs.
  • PDF (Portable Document Format): A platform-independent format optimized for printing and sharing. It preserves the document’s appearance on all devices. For PDF export, you can choose whether the report contains only data or, in addition to data, AI-generated textual analysis (with appropriate permissions and credits).

The content and appearance of the report may vary depending on the chosen format.

How can I modify or correct the completed risk analysis PDF file?

If, after thorough reading and review, you decide that intervention is necessary, we recommend the following:

  • Refine or supplement data: Modify site, area, or assessment data.
  • Add new data: Add new areas or assessments for an area.
  • Editing: Easily edit the finished PDF file with a PDF editing program! We primarily recommend the Canva online editor for this, but any other editor may be suitable. With Canva, the document’s layout and appearance remain perfect, and it is very easy to use!
