Help – IPM Program
How can I generate an IPM Program for a site?
The Integrated Pest Management (IPM) Program is a comprehensive document detailing the pest management strategy for a selected site. The program is generated with the assistance of Artificial Intelligence (AI), based on the latest data recorded for the site.
Steps for generation:
- Navigate to the “Sites” view.
- Find the site for which you want to create an IPM Program.
- Click the “Program” (or similarly named, possibly uniquely iconed) button associated with the site.
- A pop-up window (modal window) will appear, requesting confirmation to generate the program. Here you will see your current AI credits and a disclaimer regarding the use of AI.
- The program utilizes all relevant data for the site (environmental data, location details, latest assessments – maximum 30).
- The report language will be the report language specified in the settings.
- Click the “Generate Program” button.
The IPM Program is generated in PDF format. The process may take a few seconds or even a minute or two, as the AI performs a complex analysis. After generation, the PDF file download will start automatically.
Important notes:
- IPM Program generation is always AI-assisted and requires an appropriate subscription level and sufficient AI credits.
- The generated program is a comprehensive proposal that must always be professionally reviewed and, if necessary, modified or supplemented according to the site’s unique needs and local regulations.
- The thoroughness and customization of the program will depend on the quality and detail of the data recorded for the site and its locations.
What are the main sections of a generated IPM Program?
The AI-generated IPM Program PDF document aims to summarize the site’s pest management strategy in a structured, auditable format. The main sections are as follows (exact titles and order may vary slightly in the generated document and will appear in the selected report language):
- Introduction to the Purpose of the IPM Program: A brief overview of the principles, goals, and benefits of integrated pest management. (This is a fixed, pre-written section).
- Site and Service Provider Data: Information about the service company and the client’s site (company name, address, site name, description, program date). (This data is inserted from the system).
- Site Environmental Data (Table): Summary of the site’s environmental risk factors. (Data from the system).
- Location Data (Table): Summary of the main data for locations belonging to the site. (Data from the system).
- Assessments Summary (Table): Tabular display of relevant assessment data. (Data from the system).
- Survey and Risk Assessment Summary (AI-generated): The AI analyzes the survey results of the site and its environment, identifying high-risk pests and critical areas based on the input data.
- Prevention Strategy (Exclusion, Restriction, Hygiene) based on site and location specifics (AI-generated): The AI details specific preventive measures, considering the site’s general environmental measures and data recorded at locations.
- Detailed Description of Monitoring and Control System (AI-generated):
- Monitoring Devices and Methods: The AI describes the monitoring system based on location data (indicator system, installed devices).
- Inspection Frequency: The AI makes recommendations or interprets existing frequency based on location data (e.g., annual service interval, risk category) and general practices.
- Pest Management Program per Location and per Pest (AI-generated): The AI proposes an IPM-compliant control program broken down by each location, considering potential and detected pests, and addressing possible methods. It emphasizes the prudent use of chemical treatments.
- Summary (AI-generated): A brief, high-level summary of the entire IPM program, highlighting the most important elements.
- Annual Review Schedule: General requirements for the annual review of the IPM program. (This is a fixed, pre-written section).
- Documentation Requirements: List of necessary documents related to the IPM program. (This is a fixed, pre-written section).
- Definition of Responsibilities: General responsibility matrix for those involved in implementing the IPM program. (This is a fixed, pre-written section).
- Emergency Protocol for Severe Pest Incidents: Actions to take in case of severe infestations. (This is a fixed, pre-written section).
The document aims to provide a comprehensive, practical, and auditable IPM plan.
What data does the AI use to generate the IPM Program?
For generating the IPM Program, the artificial intelligence uses the following data you recorded in the system for the selected site:
- Site Data:
- Site name, description.
- Company information (company name, address), if provided.
- Assessments of environmental risk factors (water, green area, neighbors, waste) and the overall environmental risk.
- Description of seasonal factors.
- General environmental measures and notes.
- Location Data (all locations belonging to the site):
- Location name, description.
- Risk category (low, medium, high).
- Annual service interval.
- List of potential pests.
- Description of indicator/monitoring system.
- Types and quantities of installed devices.
- Pest control methods and chemicals used (if specified).
- Specific risks (structural, hygiene, entry points).
- Location-specific general measures and notes.
- Assessment Data:
- Data from the latest, up to 30 assessments related to the site’s locations.
- These include: pest, hazard type and description, likelihood, severity, risk level, measures, notes.
The AI synthesizes and interprets this data to create a coherent IPM program proposal based on the provided information. Therefore, accurate and detailed data recording is crucial.
Do I need to review the AI-generated IPM Program?
Yes, absolutely! Although artificial intelligence can generate a structured and professionally relevant IPM Program draft based on available data, it’s important to realize that this is a support tool, not a perfect, ready-made solution for every situation.
Always consider the AI-generated program as a starting point and follow these steps:
- Professional Review: As an IPM professional, you possess the site-specific knowledge, experience, and critical thinking necessary to check and refine the program’s content.
- Accuracy Check: Ensure the AI correctly interpreted the input data and that the generated text aligns with the actual situation.
- Customization: Supplement or modify the program according to the site’s unique needs, local regulations, industry standards (e.g., IFS, BRCGS), and your professional judgment.
- Responsibility: Remember that you, as the professional, or the service company you represent, are always responsible for the final content of the IPM Program and its effectiveness.
The AI’s purpose is to assist and speed up the documentation process, but it cannot replace human expertise and careful review.
The “AI Disclaimer” displayed in the export window also highlights this.
How can I modify or correct the completed program?
If, after thorough reading and review, you decide that intervention is necessary, we recommend the following:
- Refine or supplement data: Modify site, area, or assessment data.
- Add new data: Add new areas or assessments for an area.
- Editing: Easily edit the finished PDF file with a PDF editing program! We primarily recommend the Canva online editor for this, but any other editor may be suitable. With Canva, the document’s layout and appearance remain perfect, and it is very easy to use!
